About the Role:
LiquidPiston is seeking a highly organized, strategic, and proactive Executive Assistant / Chief of Staff to support the CEO. This role is a unique blend of high-level executive support, operational leadership, and strategic execution. You will act as a trusted advisor and right hand to the CEO, helping drive company priorities, manage critical initiatives, and ensure seamless day-to-day operations. This is a high-visibility role requiring strong judgment, discretion, and the ability to operate effectively in a dynamic, engineering-driven environment.
Key Responsibilities:
Executive Support & Administration
  • Manage and optimize the CEO’s complex calendar, ensuring alignment with strategic priorities
  • Coordinate internal and external meetings, including agendas, materials, and follow-ups
  • Arrange detailed domestic and international travel, including itineraries and logistics
  • Draft, review, and manage correspondence on behalf of the CEO
  • Handle confidential and sensitive information with the highest level of discretion
Strategic Partnership & Execution
  • Serve as a thought partner to the CEO on company priorities, strategy, and decision-making
  • Track and drive execution of key initiatives, ensuring deadlines and deliverables are met
  • Prepare executive-level presentations, reports, and board materials
  • Conduct research, data analysis, and competitive intelligence to inform business decisions
  • Assist in shaping internal communications and company messaging
Cross-Functional Leadership & Communication
  • Serve as a bridge between the CEO and the broader organization by providing insight into team dynamics, communicating key initiatives from the executive team, and supporting alignment across departments.
  • Ensure alignment and communication across engineering, operations, finance, and business teams
  • Support leadership meetings, including agenda development, note-taking, and action tracking
  • Help cascade strategic priorities across the organization
Project & Program Management
  • Lead and manage special projects on behalf of the CEO from conception through execution
  • Develop project plans, timelines, and success metrics
  • Coordinate cross-functional teams to drive results and remove blockers
  • Monitor progress and provide regular updates to leadership
Operational Effectiveness
  • Identify inefficiencies in workflows and implement process improvements
  • Help establish and maintain operating rhythms (OKRs, KPIs, reporting cadences)
  • Support budgeting, expense tracking, and vendor coordination as needed
  • Assist in scaling internal processes as the company grows
Board & Investor Relations Support
  • Coordinate board meetings, including logistics, materials, and follow-ups
  • Support preparation of investor updates and communications
  • Maintain organized records of board documents and governance materials
Culture & Team Support
  • Help foster a strong, positive company culture aligned with leadership values
  • Support company-wide initiatives, events, and offsites
  • Act as a cultural ambassador and trusted resource across teams
Qualifications:
  • 5+ years of experience supporting C-level executives, or experience in a Chief of Staff, strategy, or operations role
  • Experience in a startup, manufacturing, defense, or engineering-focused environment strongly preferred
  • Exceptional organizational, time management, and prioritization skills
  • Strong written and verbal communication abilities
  • Proven ability to handle sensitive and confidential information
  • Highly proactive with strong problem-solving and critical thinking skills
